Position Summary |
The Lending Specialist is responsible to the Lending Supervisor for assisting in the daily activities of the Lending Unit and ensuring smooth, timely operations. Process requests from institutions worldwide by performing simple and complex bibliographic verifications in local and national databases to verify accuracy of requested material, using
OCLC/ILLiad software and Alma/
FOLIO. This position is required to be aware of levels of service, especially when dealing with consortial agreements such as
ARCHE,
GIL,
ASERL, and RapidILL. In the absence of the Lending Supervisor, this position takes a lead role in monitoring the workflow of the unit and sees to the completion of daily routine tasks. This includes checking incoming requests from other libraries for accuracy of information, overseeing the pulling of items from the stacks, processing outgoing material, and processing incoming returned items. This position assists in the scanning of material to satisfy article and chapter requests in
ILL Lending and occasionally with Document Delivery. This position also helps direct requests to other areas such as the Science Library, the Repository, or other branches such as the Music, Art, Owens, and Curriculum Material Libraries for filling from those collections as appropriate. |

Lending Support:
- Assists in the management of the Lending operations of Interlibrary Loan and GIL Express by participating in all aspects of the daily activities of the Unit. This includes evaluating the resources available to fill multiple streams of requests requiring multiple levels of service; helping prioritize the daily activities of the Unit; and reviewing and tracking the timing and progress of requests
- Expedites the filling of requests by assisting in the pulling of material from the stacks, monitoring the physical condition of the material,
- accuracy of specific editions, etc. and noting special circumstances on the ILLiad request as needed.
- Participates in a high-speed copy/scanning station used for processing Interlibrary Loan requests, including Rapid ILL, by scanning and posting articles to a central network to satisfy requests from other libraries.
- Maintains good communication with the Lending Supervisor, the Department Head and other Lending Office personnel, by transmitting information and responding to batches of requests, and relaying information such as overdue materials, problem requests, policies, the resupplying of requests, and special permissions
- Process and trouble-shoot scanning requests in Lending & Document Delivery

Administrative & Mail Responsibilities:
- Assists in the processing of outgoing material by preparing material for the Mail Room by updating records in ILLiad and the Library's Integrated Library System (ILS). Makes sure accompanying pull slips and mailing labels match volume(s) being sent.
- Assists in the processing of incoming mail, by opening packages, sorting items for Borrowing and Lending, and helping to clear Lending returns in ILLiad and the ILS, resensitizing and sorting items for return to the stacks.
- Maintains the Department's office supply inventory by ordering items from the Accounting and Purchasing Unit

- Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries' listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.
- Maintains flexibility and awareness of changes and needs in the Unit by assuming other relevant duties and responsibilities as assigned.
