Family Health Centers at NYU Langone, a designated Level 3 Medical Home, is the largest federally qualified health center network in New York State, and the second largest in the nation. It includes eight primary care sites, 40 school-based health centers and dental clinics, four day care centers, the nation's largest dental residency program, and New York State's largest behavioral health program. Position Summary:
We have an exciting opportunity to join our team as a Program Coordinator.

In this role, the successful candidate Responsible for providing basic to moderate range of Program coordination. Works with internal and external parties to organize the various components needed to initiate, run and complete major Program. Promotes, coordinates and supports the development of research Program (gathering, collecting and analysis data). Facilitates the administration process of departmental activities (e.g., facilitates the administrative process of recruiting and on-boarding process, maintaining records, compiling and monitoring the master schedule for meetings; grant application preparation and submission; monitoring and developing budget; organizing and coordinating seminars, training programs and other related activities). Reports to a Manager or Director; works under general supervision.

Job Responsibilities:

  • Participates in special Programs and performs other duties as required.
  • Program coordination -Provides basic to moderate coordination for Program activities to a manager or director, head of department that includes but not limited to: coordination of Program while working/communicating with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude Program activities. Develops Program schedules, prepares, process, and tracks Program related purchase/supplies requisitions, reimbursements, expense reports, and related invoice payments.
  • Reports- Independently prepares and review documents, and generates status/progress reports for ongoing and pending Project/Program/Programs which may include moderate analysis of findings. Outlines agenda, plans and prepares presentations, and composes a variety of memos and letters. Reviews, edits, obtain appropriate approvals. Responds to routine correspondences and refers non routine items to the appropriate party. Follows protocols as defined by the grant and Medical Centers policies and procedures.
  • Research Activities -Gathers and collects data from different parties and presents findings as applicable. Researches problems, issues and concerns and responds to requests for information. Assists in developing materials and presentations for training and educational sessions, departmental seminars and other activities.
  • Grants - May participate in grants related activities such as developing grants applications/proposals and fund raising activities if applicable. Collects and organizes required paperwork for submission if required for the grant. Follows up and coordinates resolution of all issues.
  • Program Support - Assists in the recruitment, hiring and training of clerical staff, assistants, trainee and volunteers for the program. Reviews workflow and might recommend improvement if applicable to ensure appropriate cycle times and efficiency.
  • Scheduling & Coordinating - Organizes and coordinates schedules, activities and special events. Coordinates conference preparation activities (checking and coordinating the logistics and technical support, making food and beverage arrangements, etc) and other related activities. May assist in special events planning.

Minimum Qualifications:
To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:
Project/Program management experience preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $50,219.83 - $58,300.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
