About the position

The Opportunity:

As an Administrative Business Partner, you provide analytical and specialized administrative support to relieve and assist executive, administrative, line and staff managers of complex details and advanced administrative duties.

Your key responsibilities:

  • Be the go-to person for IX leaders, providing effective support with administrative tasks: calendar management, travel arrangements, collecting/preparing information for meetings of executive staff/outside individuals, presentation preparation, and sorting key domain activities.

  • Provide administrative support to the Global Informatics organization, such as calendar/workshop/event management, finance support (POs, invoices, statements of work), meeting planning, etc.

  • Lead the planning, scheduling, and execution of different types of meetings (complex events, offsites, interviews, stakeholder meetups) in multiple time zones, for various levels of internal and external stakeholders, often with high confidentiality.

  • Serve as the go-to person for Business Operations. This may include Financial Management processes (POs, invoices, accruals), Onboarding/Offboarding activities, Relationship Management, Learning Management Support, and Department organization (distribution lists, etc).

  • Maintain relationships and information flow with the global management team and provide assistance and backup to other team members.

  • Foster a positive and collaborative work environment, ensuring effective teamwork.

  • Skillfully manage the expectations and needs of internal and external stakeholders

Who you are:

  • 5+ years of administrative, operations, or project support experience, ideally within the pharmaceutical or biotechnology industry.

  • Strong collaborative mindset, actively supporting team development, contributing to tasks, and sharing useful information.

  • Ability to handle sensitive, confidential, and proprietary information with discretion and sound judgment.

  • High attention to detail and accuracy, with excellent planning and organizational skills to manage priorities effectively.

  • Confident in managing multiple tasks in a fast-paced environment, working with diverse teams and senior leaders, and proficient with gSuite tools (gMail, gCal, gMeet, gSheets, Trello, etc.).
