Job Summary
This is an experienced-level position that requires a high level of analytical, critical thinking, creativity, organization and priority setting abilities. Incumbent shall function independently with minimal supervision and technical direction.
Incumbent has direct responsibility for the development, implementation, and ongoing operations of efficient and effective systems to provide analytical support for a wide range of strategic and tactical projects; manage and facilitate projects, define priorities and action steps, research ideas and plans with stakeholders, and make recommendations as appropriate. Independently performs the full range of responsibilities needed to support effective operation of the departments reporting up to the Associate Chief Operating Officer (which is comprised of approximately 2000+ FTEs).
Incumbent must possess excellent word-processing, grammar, editing, and proofreading skills. Must be able to set priorities and meet deadlines, as well as follow through on assigned tasks. Must be flexible and able to execute complex and diversified tasks in a heavy workload environment; sensitive to confidentiality, use tact and diplomacy when working with faculty and staff.
This position participates in meetings with collective bargaining representatives from CNA, Teamsters, UPTE, AFSCME and the Office of the President (UCOP) and is privy to confidential conversations and correspondence related to collective bargaining issues. - Bachelor's degree in related area and / or equivalent experience / training
- Experience providing strong writing skills and experience writing, editing documents to respond on behalf of the Executive accurately using proper grammar, style and format.
- Demonstrated excellent experience scheduling, coordinating and managing multiple and complex electronic calendars, meetings, projects, and events with skill to reason and discern priorities when determining action.
- Past experience demonstrating strong communication and interpersonal skills to advise and communicate effectively, and present information clearly and concisely with all levels of staff in order to secure understanding and cooperation.
- Demonstrated experience using information and computing systems relative to various administrative functions such as travel (AggieTravel) procurement (Eclipsys) and MS Office applications. Experience preparing reports or spreadsheets, and knowledge of word processing and other business software.
- Experience working independently or as a team, quickly, accurately and efficiently in a fast-paced environment.
- Thorough understanding of the mission of UC Davis Health and sensitive nature of the Associate Chief Operating Officer. Proven strong political acumen and ability to successfully operate within a diverse, complex organization. Proven ability to apply high ethical standards to operational practices and decision making in order to ensure University policies and procedures are thoroughly communicated to provide context to leadership in the decision-making process.
- Advanced knowledge and experience in the use of Microsoft Suites, Windows, Adobe Acrobat and or similar systems/applications. Knowledge and demonstrated ability of computerized systems to perform automated procurement functions (Lawson), access financial data base programs (DaFIS, Kuali and EPSI), Information Systems (computer requests), travel (AggieTravel and Connexxus) or prepare reports or spreadsheets, and knowledge of word processing and other business software. Must possess a willingness to learn new technology and have the ability to quickly learn required applications to accomplish tasks.
