Job Summary
The Academic HR Analyst 1 is responsible for various services supporting student employees, academic researchers, research staff, volunteers, and visitors. The Academic HR Analyst 1 will work across multiple University systems, each with unique policies and procedural requirements (e.g., Grad Hub, Banner, Handshake, AggieService, UCPath, Ecotime, Recruit, MIV, APHID, etc.). This position reports to the CAO and operates under the guidance of more senior Academic Personnel Analysts in the department. Responsibilities include but are not limited to:
- Manage recruitment
- Onboarding
- Provide ongoing support
- Assist with faculty recruitment and academic advancement processes
- Provide backup support on senior-level personnel matters
- Act as a secondary payroll preparer for monthly and biweekly payroll
- Perform other duties as assigned

- Demonstrated experience with administrative tasks in an academic or office setting, including data entry, recordkeeping, and scheduling
- Demonstrated experience providing customer service, responding to inquiries, and resolving issues professionally and courteously
- Demonstrated experience in handling confidential information and maintaining accurate records with discretion
- Demonstrated experience in HR processes, such as recruitment, onboarding, or payroll support
- Proficient with various software systems, including Microsoft Office (Word, Excel, Outlook) and other programs used for creating correspondence, forms, reports, spreadsheets, and presentations
- Demonstrated ability to work in a team-oriented environment, collaborating with colleagues to achieve organizational goals and resolve issues
- Strong organizational skills to meet performance expectations with a focus on quality, efficiency, and timeliness
- Ability to independently manage multiple tasks, adjust to frequent interruptions and prioritize workload based on evolving demands
- Capable of anticipating scheduling changes, working under pressure, and meeting deadlines while maintaining composure in high-stress situations and managing conflicting priorities
- Ability to communicate professionally and effectively, both written and verbal, with strong knowledge of correct spelling, grammar, and proofreading
- Capacity to learn and apply organization and school policies governing academic HR, payroll, as well as formal and informal departmental procedures
- Understanding of policy exceptions and variances
- Capacity to learn and use various systems, including but not limited to, Handshake, Banner, MyInfoVault, AggieService, Recruit, GradHub, APHID, and other business software programs
- Analytical skills to identify issues, evaluate relevant factors, and develop logical conclusions or alternative solutions. Ability to accurately interpret both verbal and written instructions
- Proven ability to apply mathematical skills in performing payroll and general accounting calculations accurately
Preferred Qualifications
- Prior experience with UC systems, including UCPath, Handshake, Cognos, MyInfoVault, AggieService, Recruit, GradHub, APHID, AggieExpense, AggieEnterprise, etc. Familiarity with UC policies, procedures, and bargaining agreements
- Experience in event coordination and logistical planning, including arranging travel, managing schedules, and organizing meetings or seminar series

Work Environment
- UC Davis is a smoke and tobacco-free campus effective January 1, 2014.
