Job Summary

This position is in the UC Davis Health Information Technology Business Operations (ITBO) team, reporting to IT Building and Administration Manager The ITBO department supports the business functions of the IT Division, including IT Finance, IT Procurement and Asset Management, IT HR, and IT Facilities management.

The IT division has 600+ employees, with a combined operating and capital budget of over $250M. This position provides analytical, management and administrative support for the IT Division team as well as the HAS Building (seating over 1200+ UCDH employees) as a whole. Incumbent is expected to research, analyze, coordinate, interpret, and recommend courses of action on projects in which the department is responsible.

This position will lead with initiative, originality, good judgment and independence in applying established principles and practices to new and unusual problems.

The incumbent is responsible for project coordination for facilities, parking, safety, and administration related projects.

Minimum Qualifications

  • High school diploma or equivalent
  • Experience in building operations.
  • Experience in customer service or a role that requires strong communication skills., both verbally and written.
  • Experience in working in a high demand environment.
  • Experience with multi-tasking and managing of multiple projects at a time.
  • Proficient in independently coordinating a variety of tasks and functions; with experience working around frequent interruptions, organizing workloads and setting/realigning priorities.
  • Demonstrated expertise running building and facility operations.
  • Proficient in Microsoft Office, Project, Visio, and other productivity suite of applications.
  • Excellent interpersonal and communication skills.
  • Ability to express ideas assertively, clearly, and concisely both verbally and in writing.
  • Ability to exercise tack and diplomacy in dealing with others to secure necessary information and cooperation from a variety of people.
  • Experience in working independently to develop and expedite projects within deadlines, demonstrating good judgment and common sense.
  • Proficient in explaining and directing in a manner conducive to cooperation and productive results.
  • Proficient in managing several co-existent deadlines and rapidly changing priorities.
  • Excellent writing and editing skills, including use of correct grammar, spelling, punctuation, and sentence structure in composing reports, correspondence, and summaries to convey proper intent.
  • Extensive independent judgment, problem-solving abilities, and originality to successfully complete assigned responsibilities., flexibility, diplomacy to effect change and maintain good working relationship with managers, University Administration, and the general public.

Preferred Qualifications

  • Experience in project management, or coordination.
  • Experience in building or facilities coordination, building maintenance, or a similar role.
  • Experience multi-tasking with demanding timeframes, working on multiple projects simultaneously; ability to review and prioritize workload and adjust as needed.
  • Strong writing and editing skills, with appropriate tone and manner relative to the target audience, and of the highest quality, oftentimes with time constraints.
  • Initiate work independently, determine priorities and take appropriate action as needed.
  • Utilize sound judgement and know when to seek input and direction from ITBO leaders or others when issues are encountered.
  • Experience maintaining security of confidential information.
  • Experience in exercising judgement, tact, and discretion in handling sensitive or confidential information and situations.
  • Experience providing administrative and analytical support to management staff.
  • Demonstrated ability to analyze and research large amounts of data with strong attention to detail.
  • Strong initiative, self-direction, good judgment in identifying problems and seeking workable solutions.
