The Coordinator, Enrollment Services Center, is an integral part of the Enrollment Services Center (ESC), a dynamic team focused on ensuring accurate, efficient, and exceptional service to students and their families. The Coordinator oversees excess hours and assists with records and registration, residency, and transcripts, leveraging new and existing resources to increase efficiency and enhance the student and staff experience. This role requires analytical and problem-solving skills, a working knowledge of all areas housed within the ESC, and communication skills that project confidence and establish rapport with campus constituents.

Job Description Typical duties may include but are not limited to:
- Provides courteous and professional assistance to students, faculty, and staff via phone, email, or in person. Answers questions about academic policies, registration processes, and deadlines. Resolves or escalates complex issues to appropriate staff members.
- Oversees the implementation and management of policies related to excess credit hours. Ensures compliance with state regulations, educates students and staff about excess credit hour policies, and assists in developing strategies to minimize financial impacts on students.
- Tracks student credit hours and identifies individuals approaching or exceeding the threshold. Develops and maintains accurate records, reports, and databases for excess credit hour cases. Generates regular reports for university leadership on trends, risks, and mitigation efforts.
- Creates and delivers workshops, presentations, and communication materials to raise awareness of excess credit hour policies and impact on student success outcomes and goals.
- Supports the Residency Reclassification process by meeting with students to explain the requirements and steps, collecting necessary documents, processing applications, and providing updates on application status or outcomes. Organizes and maintains all files, documents, and spreadsheets related to reclassification.
- Handles the various components involved in academic records and registration, including but not limited to, enrollment verifications, transcripts, senior citizen auditing, registration, FERPA and troubleshooting.
- Collaborates with university subject-matter experts, such as financial aid, academic affairs, academic advising, admissions, and veteran's affairs, while fostering strong relationships with all constituents, including students, staff, faculty, and parents.
- Maintains general understanding of the University's policies and procedures in relation to key areas of financial aid, billing, registration, and student records and demonstrates strong ability to explain and effectively counsel students on navigating these processes.
- Assists with student transcripts through the Clearinghouse platform and Banner system, ensuring accuracy, timeliness, and compliance with privacy regulations. Oversees transcript requests, resolves issues or discrepancies, and collaborates with the Clearinghouse and ITS support teams as needed.
- Creates and implements evaluations, assessment, and records and registration strategic goals to assess and report growth and effectiveness of the department to supervisor and appropriate stakeholders.
- Identifies opportunities for improvement that enables the program and university to achieve its strategic goals.
- Participates in outreach programs and initiatives.
Other Duties:
- Provides front desk coverage as needed.
- Performs other job-related duties as assigned.
Additional Job Description Required Qualifications:
- This position requires either six years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in an appropriate area of specialization and two years of full-time experience directly related to the job functions.
