Education Coordinator - Integrated and Independent Radiology Residency Programs

PRIMARY RESPONSIBILITY:

Coordinates all administrative components of the Integrated and Independent Radiology Residency programs. Organizes and independently prioritizes program office functions and program-related tasks to support the efforts and duties of the Program Director in order to achieve program goals and objectives.

Work with a minimum degree of supervision, organizing and interpreting information and making sound judgments. Organize large amounts of materials, handle multi-task projects and prioritize workload.

Job Description

ESSENTIAL FUNCTIONS:

1. Coordinates the administrative functions of the residency office and provides assistance to the Program Director to ensure compliance with current standards established by the ACGME for accreditation.

  • Maintains the ACGME database
  • Knowledge of, and ongoing education of the ACGME competencies for program accreditation
  • Coordination of Residency Review Committee (RRC) site visits: prepares files for, and attends site visit meetings.

2. Develops and maintains data systems management of program

  • Updates and maintains residency program information on American Board of Radiology (ABR), American College of Radiology (ACR), and American Medical Association (AMA) FREIDA online systems
  • Input annual Resident Rotation Schedule into New Innovations and set up automatic distribution of Resident, Faculty, and Rotation evaluations
  • Monitor and compile semi-annual and annual evaluation reports (for performance evaluation of residents) for their 6-month evaluations
  • Monitor and compile semi-annual and annual performance reports on resident duty hour compliance, procedure log, conference attendance, and residents' scholarly activity for their learning portfolios in New Innovations
  • Maintain vacation, sick, conference time, and attendance records for residents utilizing Jefferson MyTime timekeeping system.

3. Coordinates Resident Recruitment Sessions

  • Working knowledge of ERAS (Electronic Residency Application Service) web-based application system.
  • Develop and maintain informational materials for residency applicants
  • Coordinate all aspects of applicant interviews (invitation, confirmation, luncheon, scheduling of faculty interviews in ERAS, and inputting of interview scores and comments in ERAS.
  • Send out surveys to the residency applicants to evaluate our interview process
  • Working knowledge of NRMP (National Resident Matching Program) and all deadlines.
  • Prepares appointment paperwork for GME office
  • Knowledge of issues with regard to employment, visas, departmental policies, and healthcare requirements.

4. Coordinates new resident orientation

  • Update Department Policies and Procedures and Goals and Objectives, in conjunction with Program Director
  • Coordinate lunch for meeting of new residents with the Program Director

5. Coordinates resident and faculty conference assignments and schedules

  • Schedule Faculty for Didactic Lecture Sessions
  • Create, maintain, and update conference schedules; send out weekly reminders through the Radiology Intranet Calendar

6. Provides Resident support, and serves as a program liaison

  • Provides administrative support for all resident related matters including Program Director letters of recommendation and verification of residency education
  • Completes residency verifications for former residents
  • Serves as a program liaison for residents and Program Director, as well as residency program and GME office
  • Maintain and distribute Minutes from the monthly Education Committee and Resident Meetings

Interact with co-workers, visitors, radiologists and other staff consistent with the core values of the Hospital.

EDUCATIONAL/TRAINING REQUIREMENTS:

  • High School diploma required (Bachelors degree preferred)

EXPERIENCE REQUIREMENTS:

  • Advanced typing and computer skills.
  • Proficient in Word, PowerPoint, and Excel.
  • Knowledge of New Innovations residency tracking application.
  • Knowledge of and ongoing education of the ACGME competencies for program accreditation.
