Position Overview
The Executive Associate for Information Technology plays a critical role in KU IT, managing the daily coordination for the Vice Chancellor of Information Technology & CIO and providing high-level administrative support to the executive team. This individual is responsible for overseeing the Vice Chancellor & CIO's scheduling and calendar management and assisting the CIO's direct reports with various support needs.

The Executive Associate collaborates closely with other campus offices, including the Chancellor's Office, Chief Operating Officer's Office, General Counsel, Provost's Office, Chief Financial Officer's Office, Office of Audit, Risk & Compliance, Deans, and KU affiliates, to ensure smooth operations and alignment across the university. Acting as a liaison, the Executive Associate represents the Vice Chancellor & CIO in communications with other senior leaders on campus.

This position requires strong problem-solving abilities, high discretion, and sound judgment in prioritizing and managing requests, scheduling, and communications on behalf of the Vice Chancellor & CIO and the executive team.

Job Description
70% - Executive and Administrative Support
  • Provide comprehensive administrative support for the Vice Chancellor & CIO, including managing travel, scheduling, special projects, and meeting preparation.
  • Serve as the primary point of contact for the Vice Chancellor & CIO, coordinating communications and managing incoming requests.
  • Support various committees, including the Faculty/Staff Advisory Board, Student Advisory Board, Executive Leadership, and All Staff/Hands task forces, ensuring efficient meeting management and record-keeping.
  • Monitor and maintain the Vice Chancellor & CIO's inbox, responding to inquiries and routing communications as appropriate.
  • Organize special events and retreats, handling logistics such as room reservations, technology setup, and catering arrangements.
  • Manage and update listservs, groups, and conference room schedules to support seamless internal communication.
25% - Office Management
  • Act as the main contact for all communications directed to the Vice Chancellor & CIO's office, including phone and email inquiries.
  • Ensure office compliance with KU and Kansas Board of Regents (KBOR) policies and procedures.
  • Work with the Shared Service Center and other university offices to coordinate supply orders, equipment purchases, and travel arrangements.
  • Supervise one full-time staff member overseeing daily tasks and providing guidance.
5% - Other Duties as Assigned
  • Perform additional duties to support the Vice Chancellor & CIO and KU IT as necessary.

Required Qualifications
  1. Bachelor's degree and seven (7) years of office experience OR a high school diploma/GED and ten (10) years of office experience.
  2. Previous experience in scheduling and calendar management for senior administrators, as evidenced by application materials.
  3. Proficiency with Microsoft Office Suite, especially Outlook, Word, OneNote, Teams, Excel, and PowerPoint, as evidenced by application materials.
  4. Previous work experience where working independently, managing multiple tasks, and prioritizing effectively to meet goals and deadlines was required, as evidenced in application materials.
  5. Strong written communication skills, as demonstrated in application materials.
  6. Experience handling sensitive and confidential information, with a high degree of discretion, as evidenced by application materials.
  7. Demonstrated organizational skills and attention to detail from prior work experience, as evidenced by application materials.

Preferred Qualifications
  1. Familiarity with KU and State of Kansas administrative and business policies and procedures as evidenced by application materials.
  2. Previous experience working in higher education as evidenced by application materials.
  3. Experience working effectively both independently and as part of a team in a dynamic environment as evidenced in application materials.
  4. Experience editing written communications as shown in application materials.
