The Central Scheduling Supervisor is responsible for the day to day operations which includes but are not limited to Scheduling and Pre-Registration processes, insurance specialist productivity, and daily workload analysis for prioritization or shifting and analysis of trends in denials. Works in conjunction with manager to hire, promote and discipline. Responsible for evaluations and coaching of assigned personnel. Responsible reporting of various statistics reflecting productivity to ensure a smooth operation of the department. In addition, has overall responsibility for maintaining the integrity and accuracy of revenue cycle training and related quality initiatives, ensuring their alignment with the hospital's revenue cycle objectives. Acts to secure timely resolution of complex issues.

Responsibilities

  • 1. Is responsible for the overall operation of scheduling and pre-registration of radiology, cardiology exams including setting departmental goals and objectives and amends as needed.
  • 2. Provides leadership in overseeing the department's performance levels commensurate with the organization's strategic objectives and ensures accountability for meeting established objectives. Develops, establishes, and maintains procedures for all assigned services in accordance with the hospital practice
  • 3. Identifies system/process issues and deficiencies including revenue cycle errors to identify root causes and proposed solutions and recommends corrective action whenever necessary and propose appropriate resolutions.
  • 4. Creates department schedules and coordinates for unforeseen changes. May provide coverage as necessary . Identifies any on-going educational needs
  • 5. Prepares and monitors the budget. Analyzes trends and explains variances, making appropriate adjustments.
  • 6. Provides full supervision of assigned staff. Completes three-month and annual performance appraisals. Coaches staff and initiates disciplinary action in accordance with hospital policy and union contract.
  • 7. Stays current and demonstrates a working knowledge of existing and new insurance requirements.
  • 8. Manages employee schedules to ensure proper coverage. Maintains daily attendance records. Organizes and facilities department meetings. Maintains effective communication.
  • 9. Responsible for employee departmental orientation and training, hiring, coaching. Provides conflict resolution between staff members. Escalates issues to leadership as needed
  • 10. Stays current on existing and new insurance requirements, as well as hospital contracts and their billing requirements for third parties, with a strong emphasis on Medicare.
  • 11. Interacts with hospital operations and collaborates with revenue cycle leaders to improve the accuracy of data and processes, staying current with revenue cycle operations, third party payors, managed care requirements and local/State/Federal requirements
  • 12. Works on special projects as assigned. Performs other duties as assigned to ensure the smooth operation of the Department/Organization

Qualifications

EDUCATION

Work requires organizational, analytical and communication skills generally acquired through the completion of a bachelor's degree in business, finance, or a related field.

EXPERIENCE

At least one (1) year of related experience is required. Additional years of experience above the minimum requirements may substitute for educational requirements on a one to one basis (i.e. one year of experience equals one year of education). Experience with customer service, call centers, scheduling/registration is preferred. Working knowledge of CPT and ICD-9 coding and medical terminology preferred.

SPECIAL SKILLS

Proficiency with Microsoft Office. Must complete CHAA certification within one year of appointment. Ability to conduct root cause analysis. Strong interpersonal, written and oral skills and proven track record in customer service. Willing and able to travel to offsite locations to perform job responsibilities.
